BILLING POLICY

Subscriptions without surprise charges.

This policy explains facility and named-user subscriptions, renewals, taxes, cancellations, payment failures, refunds, plan changes, and post-cancellation access.

Effective: September 19, 2026

1. Subscriptions and included access

Individual Studio is licensed to one named user for $40 per month or $400 per prepaid year. It includes the Group Builder, facilitator and client materials, saved group history, and the Clinical Notes Assistant. It does not include team invitations or the Clinical Calendar.

Clinical Team is $150 per month or $1,500 per prepaid year. It includes four total named users: one clinical director and three facilitators. It adds team administration and the Clinical Calendar to the complete Studio workflow.

The standalone Clinical Notes Assistant remains available to one named user for $20 per month or $200 per prepaid year. It does not include the Group Builder, client materials, slides, calendar, shared team history, or team administration. Individual Studio and Clinical Team already include the Clinical Notes Assistant.

Larger teams and multi-site arrangements may use a separate written order form.

2. Demonstration access

Personal demos are available by request. Any hands-on evaluation is invitation-only, with an expiration date and facility-wide generation allowance stated in the invitation. Access may be paused or extended by Recovery Group Studio. Failed builds do not consume the allowance. Demo access does not require a payment method and never converts automatically into a subscription. When access ends, new generation stops; an administrator can still sign in and deliberately purchase a plan.

Previously granted Early Access Program invitations retain their stated terms. We are no longer accepting new applications for the 30-day program.

Recovery Group Studio may privately grant a named user temporary Clinical Notes Assistant access with an explicit end date. This access requires no card, creates no charge, and never renews automatically.

3. Starting a paid subscription

A paid subscription begins only after the facility administrator selects a plan, accepts the Terms of Service, Privacy Policy, and Billing Policy, reviews the recurring price and billing interval in Stripe Checkout, and Stripe confirms payment. Recovery Group Studio records the policy version accepted when Checkout begins. Promotion codes apply only when accepted by Checkout. A failed or abandoned Checkout session does not activate a subscription.

4. Renewal and taxes

Monthly subscriptions renew each month. Annual subscriptions are prepaid and renew each year. Both renew automatically until canceled. Published prices are in U.S. dollars. At launch, Recovery Group Studio monitors tax obligations but does not automatically add sales tax in Checkout. If tax collection becomes required, applicable sales, use, or similar taxes may be added based on the facility's billing location and tax status after this policy is updated.

5. Cancellation

The subscription administrator may cancel through the Stripe customer portal or by contacting support. Unless a separate agreement says otherwise, cancellation takes effect at the end of the current paid billing period. The account keeps paid access through that date and will not be charged for the next period.

6. Refunds and billing errors

Subscription fees are non-refundable after a billing period begins, except where required by law or when Recovery Group Studio confirms a duplicate charge or billing error. Report suspected billing errors within 14 days of the charge. We may issue a credit or refund at our discretion without creating an ongoing obligation.

7. Failed payments and grace period

If a renewal payment fails or requires action, the facility administrator receives notice and a four-day grace period begins with the first failed attempt. New session generation may pause after that grace period, while saved work remains readable. Updating the payment method and completing payment restores normal access.

8. Plan changes

Until self-service plan switching is explicitly available in the billing portal, contact support to move between Individual Studio and Clinical Team or to add a larger arrangement. We will show the effective date and any proration before applying a change. We do not create a second subscription to change an existing plan.

9. Reasonable use

Normal professional planning is not metered per group. Automated, abusive, resale, scraping, credential-sharing, or technically disruptive usage is not normal use. When practical, we will contact the subscription administrator before restricting excessive use and work toward a suitable plan or usage pattern.

The standalone Clinical Notes Assistant is for the normal professional documentation workload of its named user and may not be shared, automated in bulk, resold, scraped, or used as an API. Product safeguards may pause unusually high automated usage while we review it.

10. After cancellation

After paid access ends, the workspace may remain read-only for up to 90 days so the facility can reactivate or arrange an export of supported facility content. After that period, account content may be deleted, subject to legal, security, fraud-prevention, and financial-record obligations.
